Who we are

Playlee is operated by Playlee Limited, a private limited company registered in England and Wales with company number 17197208. Our registered office is 433 Rotherham Road, Barnsley, United Kingdom, S71 1UX. In these terms, "Playlee", "we" and "us" mean Playlee Limited.

About these terms

These terms apply when you visit a Playlee website, create or use a Playlee account, use the Playlee apps for Android or iOS, or use any Playlee product. By creating an account or using Playlee, you agree to them. If you use Playlee on behalf of a club, league or other organisation, you confirm you are authorised to accept these terms for it.

Playlee Clubs has no set-up fee, no subscription and no minimum term, and you can stop using Playlee at any time. That does not change the fact that these terms are a legally binding agreement between you and Playlee for as long as you use the service.

Playlee accounts are meant for adults, such as parents and guardians, club and tournament staff and adult players. Children's details are normally added by a parent, guardian, club or organiser. If you are under 18 and use Playlee, for example as a young referee, you should do so with your parent's or guardian's knowledge, and a tournament organiser can require their consent.

Our products

Playlee provides the following products. Some features are only available in certain countries or to certain roles.

  • Playlee Clubs: software for running a grassroots club, including club and team administration, player registrations, player and parent accounts, communications and notifications, fixtures and availability, subscriptions and other club payments, and club finances.
  • Playlee Tournaments: software for running a tournament, including tournament set-up and administration, team entries, entry fees and tickets, scheduling, fixtures, results, tables and referee tools.
  • The tournament directory: public listings of grassroots tournaments. The directory includes events run by independent organisers who do not use Playlee, as well as tournaments hosted on Playlee.
  • Playlee Accounts: bookkeeping tools for clubs.

Accounts and access

Keep your login details, sign-in codes and private links secure, and tell us promptly at support@playlee.com if you think your account has been used without permission. Information you give us must be accurate and kept up to date.

Club administrators decide who has access to their club and what each role can see. Tournament organisers decide who has access to their tournaments, including staff, referees and team managers. Playlee may suspend or restrict access where that is reasonably necessary to protect the service, the people using it, or their data.

Responsibilities of clubs and club administrators

A club that uses Playlee Clubs, acting through its administrators, is responsible for how it uses the service. In particular, the club is responsible for:

  • having the authority to act for the club, and for the access it gives to committee members, coaches and volunteers;
  • the personal data it collects and manages through Playlee, including information about children, medical information, photos and identity documents. The club must have a lawful basis for that data, give members and parents the notices the law requires, and collect any consents it relies on;
  • its own safeguarding duties, including vetting volunteers and following the rules of its league and governing body. Playlee provides tools to record checks and qualifications but does not carry out or verify safeguarding checks;
  • its membership terms, fees, refund policy and any other terms between the club and its members;
  • the messages, announcements and other content it sends or publishes through Playlee; and
  • its own tax, accounting and record-keeping obligations.

Responsibilities of tournament organisers

A tournament organiser is responsible for their event and for how they use Playlee Tournaments, including:

  • the accuracy of the tournament information, schedules and results they publish;
  • the entry terms, rules, eligibility checks, safety arrangements and refund policy for their event;
  • the personal data of teams, players, guardians, referees and ticket buyers they collect through Playlee, including giving the notices the law requires; and
  • running the event on the day. Playlee supports live events, but organisers should keep sensible manual checks and contingency plans in place.

Tournament directory listings and your content

Directory listings are compiled from information submitted to us and from publicly available information published by organisers. A listing does not mean that the tournament is run on Playlee, or that Playlee organises, endorses or has verified the event. Check the details with the organiser before entering or travelling.

If you submit a listing, you confirm you have permission to publish it. We may review, edit, decline or remove listings. Organisers can claim their listing, or ask us to correct or remove it, by contacting support@playlee.com.

You keep ownership of the content you add to Playlee. You give us a licence to host, copy, display and process it as needed to run the service, and to show public content (such as published fixtures, results and directory listings) to the public. We may remove content that breaks these terms or the law.

The tournament directory is a database Playlee has invested substantially in compiling, checking and presenting, and it is protected by database right and copyright. You may view, search and share individual listings, but you may not extract or re-use all or a substantial part of it without our written permission.

Pricing and fees

Our current prices are shown on our pricing pages and before you pay. We will tell you by email at least 30 days before an increase in a price or fee applies to you. A change never affects a payment that has already been made, and if you have a subscription you can cancel it before the new price applies.

  • Playlee Clubs: no set-up fee, no subscription and no minimum term. When a club collects a payment online through Playlee, a platform fee applies to that payment (3.25% + 20p in the UK, or 3.25% + €0.25 in euro countries). The fee includes card processing and is deducted before the money is paid out to the club. Payments a club records as paid offline carry no fee.
  • Playlee Tournaments: tournaments can be run on a free plan. Optional paid plans add features and are charged once per tournament, not as a subscription. Entry fees and tickets collected online through Playlee carry the same platform fee as Playlee Clubs.
  • Playlee Accounts: free for a club while it collects payments online through Playlee (at least one online payment in the current season, or in the last 90 days if the club has no season set up). Other clubs can subscribe monthly or for a season of 12 months. A subscription renews automatically at the end of each billing period until it is cancelled. You can cancel at any time in the club's billing settings: the cancellation takes effect at the end of the period already paid for, and the club keeps read-only access to its books after that.
  • Where a club or organiser chooses to add Playlee's fee to the amount the payer pays, the total is shown to the payer before they pay.

Payments, refunds and disputes

Online payments are processed by Stripe. Each club or organiser connects its own Stripe account and agrees to Stripe's terms, including the Stripe Connected Account Agreement. The club or organiser is the seller for the payments it collects through Playlee, and the money is paid out to its Stripe account. Playlee is not a party to the arrangement between a club or organiser and the people who pay it, and any right to cancel a membership, registration, session or entry is between the payer and the club or organiser.

Refunds are decided by the club or organiser under its own refund policy. If you have paid a club or organiser and want a refund, contact them. The following apply when a refund is made through Playlee:

  • Playlee Clubs: when a club refunds a membership, registration or session payment, the matching share of Playlee's fee is returned. For shop orders and organisation invoices, the fee is returned on full refunds only.
  • Playlee Tournaments: Playlee's fee is not returned when an organiser refunds an entry fee or ticket.
  • Failed payments, chargebacks and disputes are the responsibility of the club or organiser that took the payment, not Playlee. This includes the disputed amount and any dispute fees. Playlee may recover these amounts from the club's or organiser's Stripe account or future payouts.
  • Paid tournament plans and Playlee Accounts subscriptions are bought from Playlee. Apart from the cancellation rights in the next section, or where the law requires otherwise, they are not refunded once the plan has been applied to a tournament or the billing period has started.

Cancelling a paid plan or subscription

Paid tournament plans and Playlee Accounts subscriptions are usually bought by clubs and organisers for their organisation. If you buy one as a consumer, that is, for purposes outside your trade, business or profession, you have the legal right to cancel within 14 days of buying it, without giving a reason.

Starting a plan or subscription does not by itself remove your cancellation right. We can deduct a proportionate charge for services supplied during the cancellation period only if you expressly requested an early start and we gave you the information required by law. You lose the right to cancel a fully performed service only if you expressly requested the early start and acknowledged that full performance would end that right. Otherwise, no such deduction or loss of cancellation rights applies.

To cancel, email support@playlee.com within the 14 days with your name and the plan or subscription you want to cancel. You can use any clear statement; you do not need a particular form. We will refund you within 14 days, using the payment method you used. This does not affect your right to cancel a subscription at any time with effect from the end of the current billing period.

These cancellation rules do not affect your statutory remedies if a service is faulty, is not as described or is not supplied with reasonable care and skill, including any right to a price reduction or refund. Any longer cancellation period required by law also applies.

Acceptable use

You must use Playlee only for lawful sporting, club, administrative and community purposes. You must not:

  • upload unlawful, abusive or misleading content, spam or malware;
  • misuse personal data, including contacting people for purposes they have not agreed to;
  • try to access another club, tournament, team or account without permission;
  • impersonate another club, organiser, coach, referee, parent or player;
  • copy, extract or re-use the tournament directory or other listings in bulk, whether by automated means (bots, scrapers, crawlers or headless browsers) or by hand, including through proxies or rotating IP addresses. Search engines and AI assistants that follow our robots.txt may index public pages to show them in search results and answers;
  • reverse engineer, scrape at scale, overload or probe the service for vulnerabilities without our written permission; or
  • use Playlee in a way that puts a child at risk.

Messages, content and reporting

Playlee lets clubs, teams and families send messages and share images. Club administrators and safeguarding officers can review reported messages, hide messages and restrict who can post in their club.

To report a message, use the report option in the app where it is offered. To report anything else, or if you think something on Playlee is illegal or puts a child at risk, email support@playlee.com. We review reports and may remove content or suspend accounts. If we remove your content or restrict your account, we will tell you why, unless the law or someone's safety prevents it, and you can ask us to look at the decision again.

If a child is in immediate danger, call the police first, on 999 in the UK or 112 in the EU.

Availability and support

We work to keep Playlee available and accurate, but we cannot promise it will always be uninterrupted or error-free. We may change, improve or maintain the service, and will try to give notice of changes that significantly affect how you use it.

Support is available at support@playlee.com and through the help centre. Response times depend on the issue.

Liability

Playlee is a software tool. We are not responsible for the decisions, events, payments, communications or conduct of clubs, organisers or other users, or for the accuracy of information they publish, including directory listings based on organisers' public information, unless the loss was caused by our own failure to meet these terms.

If you use Playlee as a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill. We are not responsible for loss that was not foreseeable. Playlee is provided to consumers for domestic and private use, so we are not liable to you for any business losses.

If you use Playlee for a club, organiser or other organisation, we are not liable for indirect or consequential loss, or for loss of profit, revenue, goodwill or data. Our total liability to the organisation in any 12-month period, whether in contract, negligence or otherwise, is limited to the greater of £100 (or €120 in euro countries) and the fees the organisation paid to Playlee in the 12 months before the event giving rise to the claim. "Fees" means Playlee's own fees and charges, not money collected for the club or organiser.

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, for gross negligence or wilful misconduct, or for anything else that cannot be limited or excluded by law. Nothing affects your statutory rights as a consumer, including the mandatory consumer protection of the country where you live.

Closing your account and suspension

You can stop using Playlee at any time. You can delete your Playlee account from the account settings in the Playlee app, or by following the steps on our account deletion page. A club owner or tournament organiser needs to hand over or close their club or tournament first.

We may suspend, restrict or close an account that seriously or repeatedly breaks these terms, or where we are required to by law. Where it is reasonable to do so, we will tell you first and give you a chance to put things right. When we act, we will tell you why, unless the law or someone's safety prevents it, and you can ask us to review the decision by contacting support@playlee.com.

Changes, governing law and contact

We may update these terms, for example to reflect changes to Playlee or to the law, and will show the date of the latest version on this page. We will tell you by email or in the app at least 30 days before a significant change takes effect, unless it has to take effect sooner for legal or security reasons. If you do not agree to a change, you can stop using Playlee and close your account before it takes effect, and cancel any subscription without paying for the period after the change. If you keep using Playlee after a change takes effect, the updated terms apply.

These terms are governed by the law of England and Wales. If you are a consumer, you also keep the protection of the mandatory laws of the country where you live, and you can bring a claim in the courts of England and Wales or in the courts where you live. If you use Playlee for an organisation, the courts of England and Wales have exclusive jurisdiction. If a separate written agreement with Playlee conflicts with these terms, that agreement takes precedence to the extent of the conflict.

These terms are available in several languages. For organisations, the English version applies if the versions differ. If you are a consumer and the versions differ, the version more favourable to you applies.
